Operations Assistant

The Columbia School of English is seeking an outgoing, trustworthy, hardworking individual for our open position.

If you are a self-motivated and dedicated person, we would like to interview you to see if you would be a good fit. This job requires the type of person who can "jump in and swim" with little supervision.

Job Summary:  Responsible in performing administrative and secretarial functions, including assisting in supervising clerical staff, performing administrative duties, maintaining calendar, answering phones. May assist with translation and/or communication using second language skills when possible. This position involves a high volume of time-sensitive e-mails, faxes, letters, phone calls, and frequent customers walking in for assistance.

Key Responsibilities:

  • To provide consistent high quality and friendly customer service to our students, prospective customers and partners.
  • Meticulously maintain the front office/ reception area in an efficient manner.
  • Assists in processing student applications, requests for housing
  • To ensure that all necessary student documents (passports, VISA info, etc.) is collected and filed correctly.
  • Receive, route, and screen incoming calls; take messages; provide assistance to callers and visitors; act as liaison between individuals and other team members.
  • Updates and maintains CSE's Student Database, Calendar, Bulletin, and Communication Systems.
  • Organize, setup, and assist for school meetings
  • Corresponding with current and prospective students
  • Organize and assist CSE's student activity programs.
  • Maintain supplies and service for office
  • Perform other duties as assigned

Experience & Qualifications


  • Excellent oral and written communication skills
  • Energetic, enthusiastic and warm personality
  • Meticulous, organized, able to set priorities
  • Student/Customer Service experience
  • Excellent knowledge of Microsoft Office
  • Basic knowledge of Adobe Creative Suite
  • Great local knowledge of Portland


  • Experience working with international students
  • Knowledge of a second language
  • Great command and/or experience using Adobe Creative Suite
